Privacy Policy
Introduction
The Law Foundation of BC (Law Foundation) is committed to protecting the privacy of personal information. The Law Foundation complies with BC’s Freedom of Information and Protection of Privacy Act (FIPPA), and Canada’s Anti-Spam Legislation where applicable.
This Privacy Policy explains how the Law Foundation collects, uses, discloses and secures personal information in the course of carrying out its operations.
This policy will be reviewed periodically to ensure compliance with FIPPA.
What is Personal Information?
Under FIPPA, personal information means recorded information about an identifiable individual other than business contact information (“Personal Information”).
Business contact information is defined as information to enable an individual at a place of business to be contacted and includes the name, position name or title, business telephone number, business address, business email, or business fax number of the individual (“Business Contact Information”).
Purposes for Personal Information Collection, Use, and Disclosure
The Law Foundation collects, uses, and discloses Personal Information such as name, contact information, payment information, educational or employment information and payment information for the following, non-limited purposes:
Grantmaking activities
The Law Foundation may collect Personal Information submitted by grant applicants, grant-receiving organizations, and their board or staff as part of grant, fellowship or scholarship applications and reporting, verification of identity, and evaluations of work conducted in relation to the grants, fellowships or scholarships.
Training and evaluation
The Law Foundation may collect Personal Information as part of training or evaluation programs sponsored or provided by the Law Foundation.
Research and development
The Law Foundation may collect Personal Information as part of research and development of policies related to the delivery of its grantmaking programs and of services delivered under those grants, including statistical research and analysis.
Financial administration
The Law Foundation receives information from financial institutions and the Law Society of BC for the purpose of reconciling and verifying interest payments from lawyers’ pooled trust accounts that are required to be made by law. In general, this information is not personal information. However, where Personal Information is collected, used, or disclosed, it is treated with the same level of protection as otherwise provided under this policy.
Email communications
The Law Foundation may collect Personal Information including name and email addresses from individuals for the purposes of communicating with grantees, partners, and members of the public who have given consent to receive email communications. These emails may include newsletters, information about Law Foundation events (including Law Foundation-sponsored events), activities, research, grant programs, and other communications.
Event registration and attendance
The Law Foundation may collect Personal Information when an individual registers for an event hosted by the Law Foundation including name, email address, and any other specific personal information required to administer and coordinate the event.
Surveys
The Law Foundation may collect Personal Information as part of surveys from event attendees and may use the information submitted by the attendees to improve future events.
Webinars
The Law Foundation may collect Personal Information including email address and name of the individuals that register for Law Foundation webinars, to provide webinar access details and to send resources associated with the webinar such as reports and toolkits.
Applications for employment or volunteer positions
The Law Foundation may collect Personal Information from applicants, including contact information as well as information relating to the qualifications/resume and references, to evaluate the applicant’s relevant experience regarding the role they are applying for, and administer the application process.
Website statistics and analytics, including cookies
The Law Foundation uses digital markers, including cookies, to enhance the use of its website and website visitors’ experience. Users may disable the use of cookies in their browsers.
The Law Foundation also uses web analytics tools to collect information on page visits and downloads to better understand what types of content are most valuable to people who use the website. The Law Foundation collects information including location, IP address, device information, and browsing activities of website users while on the website. This information helps the Law Foundation optimize the content and format of its website to better serve users. The Law Foundation does not capture or store information such as names or home addresses of its website users.
Social media interactions
The Law Foundation uses social media to share news and engage members of the public about the work of the Law Foundation. When people interact with the Law Foundation through social media, they consent to the collection of their personal information by social media platforms in accordance with the terms of the platform. Social media platforms may collect aggregate demographic information such as age, gender, and interests. The Law Foundation may monitor this data for the purpose of tailoring our content to specific audiences.
People who interact with the Law Foundation’s social media posts should not unnecessarily provide personal information such as names, email addresses, or phone numbers.
Other websites
The Law Foundation’s website may include links to other websites. When people click on one of those links, they are using another website or platform. The Law Foundation’s Privacy Policy does not apply to these other websites or platforms. The Law Foundation does not take responsibility for the privacy practices of websites or services other than its own. Users who access another organization’s website or platform through the Law Foundation’s website should read that organization’s privacy policy to determine its personal information practices.
Personal Information Use and Disclosure
The Law Foundation will only access, use, or disclose Personal Information for the purposes for which it was collected, or for a use that is consistent with that purpose, unless consent for another access, use or disclosure has been obtained, or is otherwise required or authorized by law. All Law Foundation employees, Governors, contractors and volunteers must sign the Law Foundation’s confidentiality agreement.
The Law Foundation does not sell, rent, or trade any Personal Information to third parties.
Personal Information Storage and Transfer
The Law Foundation stores Personal Information at its office in British Columbia and on its information systems within Canada, and with third-party service providers located in Canada.
In limited circumstances Personal Information may be stored outside of Canada by third-party service providers, in accordance with and in a manner consistent with the requirements of FIPPA.
Personal Information Safeguarding
The Law Foundation takes reasonable steps to protect Personal Information, through physical, electronic, procedural and contractual safeguards to protect the systems and locations where it stores Personal Information against unauthorized access, use, or disclosure.
Freedom Of Information Requests
FIPPA provides all members of the public with the right to access certain public records as well as their own Personal Information held by public bodies. FIPPA ensures that public bodies are transparent and accountable.
Subject to any exceptions or constraints established by FIPPA, people can submit a Freedom of Information (FOI) request to the Law Foundation, including requesting access to their Personal Information. People can also request that the Law Foundation correct any Personal Information that may be inaccurate.
